Final pay is the closing account
Final pay computation in the Philippines is not just the last salary. It is the closing reconciliation of what the employee is entitled to receive, less lawful and properly supported deductions.
Start with the separation date and a complete payroll record. Give each item a label so the employee can understand the computation.
Review each applicable component
Check unpaid salary, proportionate 13th-month pay, unused convertible service incentive leave and other leave convertible under the applicable policy or agreement. Review tax refunds and other amounts due. Separation or retirement pay belongs in the total only when the employee qualifies.
Do not assume every resignation earns statutory separation pay. Do not assume all unused sick or vacation leave must be converted when the governing terms do not provide it.
The 30-day rule
DOLE Labor Advisory 06-20 provides for release within 30 days from separation or termination, unless a more favorable policy or agreement applies. Clearance should be organized around that obligation, not used as an indefinite holding pattern.
Track the responsible people and follow up on missing inputs early. Obtain case-specific advice where a disputed obligation affects release.
An illustrative closing worksheet
Assume unpaid salary of ₱8,000, prorated 13th-month pay of ₱6,000 and eligible convertible leave worth ₱2,000. Gross final pay is ₱16,000 before any properly verified adjustments. This is arithmetic, not a conclusion about a real employee’s entitlements.
Keep the basis for each figure and review the final statement. OLi HR can help gather payroll and employee records. The eligibility decision and release process remain with the employer. Read the separation and retirement guide before adding those items.
